Teregna for Urgent Care

The queue management system built for urgent care patient flow.

Urgent care centers run on volume. Every patient who walks in, sees a packed lobby, and leaves is revenue you never recover — and a patient who didn't get care they needed. Teregna gives urgent care centers a real-time patient queue system: digital check-in at the door, honest wait time visibility, a virtual waiting room so patients don't crowd your lobby, and automatic SMS when a room is ready. No EMR integration required. Up and running in a day.

Why urgent care centers lose patients at the door

The average urgent care center loses between 10% and 20% of walk-in patients to lobby walk-outs — patients who check in, see the wait, and leave before being seen. Walk-outs peak on weekday evenings and weekend mornings, your highest-volume windows.

The cause isn't the wait itself. It's uncertainty. A patient who knows they're 7th in line and will wait approximately 50 minutes will stay. A patient who sees a full waiting room and has no information will leave. Teregna replaces the uncertainty with a specific number — and specific numbers change patient behavior.

Urgent care centers using digital queue management report 15–30% reductions in patient walk-outs within the first 30 days.

Digital patient check-in — no front desk required

A QR code at your entrance lets patients self-check-in before they reach the front desk. They enter their name, phone number, and reason for visit directly on their phone. They're in the queue in under 30 seconds.

Your front desk staff see every patient in real time on a clean dashboard. They can reorder the queue based on clinical urgency without disrupting the visible position count for other patients. Triage happens on your side — the queue the patient sees is managed separately from the clinical priority order your staff work from.

Kiosk mode is also available for centers that want a tablet at the entrance — patients tap to check in, and a ticket number is issued on screen.

Virtual waiting room — patients wait in their car, not your lobby

In urgent care, a crowded lobby is an infection control issue as much as a patient experience issue. Teregna's virtual waiting room lets patients leave after check-in and wait anywhere — their car, outside, a nearby café. They receive an SMS notification when it's time to come in.

Your lobby occupancy drops immediately. Patients waiting for the SMS are not exposed to others in the waiting room. Staff spend less time managing lobby anxiety. And your patient satisfaction scores improve — because the experience of waiting in your own car is categorically better than waiting in a crowded room.

The virtual waiting room works automatically from the moment Teregna is set up. No configuration needed.

Real-time wait time display for patients and staff

Teregna's TV display mode shows the live queue on any screen in your facility — a mounted TV in the lobby, a tablet at the front desk, or both. Patients can see the queue moving in real time. Staff have full visibility without checking a separate system.

For patients who checked in and left the building, their position is visible on their phone through the check-in confirmation link. They know exactly when to head back — without calling your front desk to ask.

Wait time analytics are built in. You can see your average wait time by hour, your peak intake windows, and your daily patient volume over time — giving you the data to staff appropriately for your actual patient patterns.

Works alongside your EMR — no integration required

Teregna sits in front of your existing clinical workflow. Patients check in through Teregna. Your staff call them in through Teregna. Clinical documentation, billing, and records happen in whatever EMR you already use — Athena, Epic, eClinicalWorks, or any other system.

There is no API integration, no IT project, and no contract negotiation with your EMR vendor. Teregna is a separate layer that handles patient flow and communication. You can be operational the same day you sign up.

Multilingual patient check-in

Urgent care centers serve diverse patient populations. Teregna's check-in flow is available in 9 languages: English, Spanish, Arabic, French, Chinese, Somali, Amharic, Tigrinya, and Afan Oromo. Patients see the check-in interface in their preferred language automatically based on their device settings.

Front desk staff see all patient information in English on the dashboard, regardless of what language the patient used to check in. There is no configuration required — multilingual support is on by default.

Frequently asked questions — urgent care queue management

How is Teregna different from a paper sign-in sheet? A paper sign-in sheet gives patients no information after they sign in. They don't know their position, their wait time, or when they'll be called. Teregna replaces the paper sheet with a digital queue that gives patients live position updates and an SMS when it's their turn — reducing anxiety, reducing front desk call volume, and reducing walk-outs.

Does Teregna work if we don't have reliable patient Wi-Fi? Yes. Patients use their own mobile data to check in via QR code. Your staff dashboard runs on your facility Wi-Fi or wired connection. The two don't depend on each other.

Can we manage clinical triage priority without patients seeing the reorder? Yes. Staff can reorder the queue based on clinical urgency from the dashboard. The position numbers patients see update smoothly — patients are not shown when they've been moved in the clinical priority order.

How long does setup take? Most urgent care centers are fully operational within one business day. There's no hardware to install and no EMR integration required. You create your account, print your QR code, and start accepting check-ins.

What happens when a patient checks in but doesn't respond to their SMS? Teregna marks them as a no-show after a configurable timeout and moves to the next patient automatically. No-show data is logged in your analytics dashboard.
